South London & Surrey TRF - Local Group AGM

All

We will have our South London & Surrey TRF Group AGM at our Club Night meeting on Tuesday 24 January 2017. We are required by byelaws of the TRF to hold this on an annual basis.

Our AGMs have always been very informal and pretty short. For this year I propose the following agenda will be:

21:00
- Usual club business (ROW reports etc)

21:15
- Open formal AGM
- Membership report
- Financial report
- Highlights of 2016 (/"Officer reports")
- Questions and Answers
- Any formal proposals from members (group officers to be notified by Tuesday 17 Jan)
- Elections to Officers position

- Close of AGM
- To be followed by Group Awards.

If anyone wishes to stand for election for one of the six Officer posts please let myself, Steve Sharp or Steve McCormick know. The posts are:
- Chair (currently myself, Steven Taylor)
- Group Representative (currently Steve Sharp)
- Treasurer (currently Viv Offord, who is not a TRF member but used to be, and who has been content to continue to support us in this role)
- Rights of Road Officer (currently Steve Sharp)
- New Member Officer (currently Steve Sharp)
- Equestrian Officer (a new officer role)
- Secretary (currently Steve McCormick)

If anyone wishes to make any formal proposals or "motions" to put to the Group please notify a group Officer by Tuesday 17 January.

Hi All,
I have been part of the Surrey TRF group for around 25 years, after quite a few years with the group I took on the current roles and activities. Back in the old days there used to be only about 20 members and I have seen it grow to its current healthy position of around 260 members.

Unfortunately my enthusiasm has diminished due to the number of years I have been doing this. As the group has so many active members I think it is a good time for people with more enthusiasm than me to take on some or all of my roles and activities.

I have listed the roles and activities that I do, so you get an idea of what is involved.

Group Representative
- Point of contact for the group, I receive inquiries via email and phone.
- Respond to inquiries.
- Disseminate information to the group.

New Member Officer
- Point of contact for the group, I receive inquiries via email and phone.
- Respond to inquiries.
- Meet and greet new members at club night, provide information, answer questions & make sure they ok.
This needs to be done every club night.
Note: Chris also responds to emails and the national TRF seems to bypass group reps and go to Chairman.

Rights of Road Officer
- Point of contact for the group
- Receive official notifications from Surrey County Council
- Disseminate information to the group.
- Co-ordinate and send response
Note: We now have keen and dedicated members who are heavily involved with ROW

Club Night
- Run the more formal part of club night. (Herd cats).
- Collect club night money (& run money) and transfer to TRF bank account.
Note: + meeting & greeting new members as stated earlier.

Please contact me if you would like more information, if people do not want to take these on I will continue.

Steve, we spoke earlier. You have done so much to establish the South London and Surrey TRF group, nurturing it for the small group of 20 to what it is now, a 260-odd strong fellowship of people passionate about trail riding. I remember when I first got in touch with you, you were full of encouragement and support and advice, which helped tremendously in getting me up and running on my Yamaha DT125R with L plates. I expect may others will have stories to tell about things you have done to help them enjoy trail riding.

- New Member Officer (currently Steve Sharp, stepping down. Tony Rowlands has indicated he will stand).

- Equestrian Officer (a new officer role, Brian Cohen has indicated he will stand).

- Secretary (currently Steven McCormick, Steven has indicated he will stand again).
