Club Night - January - Tuesday 27th January

Hi,

Further to Stevens post. Most people have day jobs and want to keep the TRF work as light touch as possible, but we do need a bit of organisation to keep the group functioning as well as possible....to: fight closures and promote rights of way, enjoy the riding, welcome new members and keep existing members happy.
So the following is to keep the momentum going and be as light touch as possible.

Please send in any AOB and we hope to see as many people as possible. If you cannot make the meeting and wish your views to be known please contact us.

8-30 Arrive grab a beer, meet new members, mark up maps, informal chat.
Welcome to new, old and prospective members! New members please come and see me; I will explain about trail riding and answer any questions.
We are here to discuss routes, ride outs , answer any questions etc.

9-00 More formal bit
- National EGM - Feedback - John
- Group Returns - Run through who does what officially in the group - Who is prepared to carry on and filling vacancies. - We have to send off our returns annually to TRF HQ.
- Run through the additional activities that people do - Who is prepared to carry on and filling vacancies.
- Run co-ordinator - Do we need this role? Discuss
- Core group
- Suggestions from members, ways to improve the group...
- Best place to show roles and which people do them, for all to see.

I can't make the club night due to work, but could you please raise the subject of the fact we need another Ride leader for the Beginners ride on Sunday the 1st of Feb as we have enough for 2 groups.

In AOB, big bikes. I think Stewie, Gav, Jez and quite a few others are active big bike riders and Stewie had a successful ABR big bike run locally, perhaps we could have a seperate big bike section. Is there any way we could link it to the ABR forum ? There was a big bike club used to meet at The Jovial Sailor, about a mile from our club night venue, on a Tuesday. Can`t remember who they were, by the time they got there I had usually had a few, but there was usually quite a big group, so there are plenty of them out there for our taking, as it were.

Hi, We had a good turnout at club night and the more serious stuff didnt put people off...

We had a good discussion and here is the outcome

Chairman..... Steven Taylor, happy to continue
Secretary..... vacant - Still vacant
Treasurer..... Viv Offord, happy to continue
Group Rep..... Steve Sharp, happy to continue
Rights of Way.... Steve Sharp, happy to continue
New Member Officer.... Steve Sharp will take this on as he does a lot of this already in his role of Group Rep. Chris Edwards also currently does the email inquiry part and he is happy to continue.

Map Master...... John Barber
ROW Surrey CC Liaison....Brian Cohen will take this role on. He will attend the meetings in Mikes place.

1. should we set up a small core group of people and who meet occasionally to discuss club stuff. Yes, this was agreed and the above people plus Derek mudeevee, Steve (Billy) & Ade Morcom. We will publish the list of roles and people on the Forum.
2. do we need a run co-ordinator, (Simon has indicated he will be stepping down from this role.) Discussed and people thought we no longer need this role, as the Forum has a lot of runs and we have request a run leader section.

Notes from club night:

1. Ride's And Meets section is very busy with ride posts, unrelated posts & old posts
2. Want a Ride's And Meets section aimed at Big Bikes
3. Want ability for better moderation of public posts
4. Forum calendar is wanted
5. Notifications for bigger upcoming events which can be lost in the Ride's And Meets secion (pop-up or something)


Work undertaken:

1.
- Used moderator powers to sticky important events.
- Enabled pruning: Every 7 days the forum will automatically delete any topics which haven't been viewed within 31 days OR had new posts within 31 days.
- Used moderator powers to move unrelated topics to correct sections.

2.
- Section for Big Bikes Rides & Meets created.

3.
- Have ensured the REPORT THIS POST feature works and is correctly reported on the moderator control panel
- Creating a new Forum User Group for Moderators to enable authorised users to assist in moderating forum posts (not finished and will need to consult more with the big wigs how they want this set up)

4.
- Investigating calendar as a viable mod for the forum.
- Calendar mod exists but is severely under developed and will require serious work to get working, but can be done. Alternative would be to migrate forum to VBulliten forum software which has this built in.

5.
- Topics of interest have been stickied
- Would be solved with calendar mod implementation
- Am looking at possible (1 time) pop up for forum visitors to notify them of a new event.


In addition to this select Members, such as StevenT, are to be given access to the Global Message facility, which will email all registered users of the forum OR just vetted members of the TRF. (WIP will do soon).[/quote]

This is great, along with club night, the Forum is the way we talk to each other and is the backbone of the club. So it's great that it's actively being kept in good shape .

Bit worried we may lose useful stuff eg map routes or ROW stuff or talk about specific bike or whatever. Can stuff not just be left for future reference. It's not as if it is getting in the way. Or what is the need to prune?

Hope the it bike section takes off, lots of potential members if we welcome them in and make a dedicated space

Dave, There are lots of useful stuff that we need to keep, there may be maps that people havent viewed that we need to keep, RoW info, etc. Can you turn this off until we have looked into this in more detail.

Just to clarify, this pruning will only happen in the Rides and Meets section. No pruning will take place in sections where maps are stored.

To try and assist our members who feel the Rides and Meets section is clogged it's a good feature as it's automatic.

But, as I'm tapping this out I realise your point. Sometimes, instead of someone making a fresh topic in Ride Reports, there's a lot of feedback and pictures posted to the original Ride Meeting topic (I think this might be why it gets bumped up the list and newer, non-stickied, up and coming rides get lost in the list making it confusing to some.).

Alternative would be to get a few trusted moderators on board to assist with sticking / unsticking important rides or just those in date. Moderators can also move topics which are in this section but should be in other sections (avoiding pruning if enabled). It's even possible to move posts and merge into other topics (basically moving all feedback from a ride into a new topic into the right section).

Of course, it's easiest to leave it as it was and do nothing ;)

Might be something for the inner circle to discuss.

I have emailed the new "core" including Dave for their thoughts.

We will update the post when weve discussed it.

If we implement this or implement with revised time period, we can ask people to post write up/photos to other part of forum
